Creating No-Code Workflows: Automating Success

Automation shouldn’t always require an engineering degree. With the Flow tab in formsflow.ai, we’ve introduced a true no-code approach to process automation.

Mastering the Flow Tab

formsflow.ai allows building no-code workflows directly from forms, automating processes like expense approvals with tasks and conditions. This tutorial section covers attaching a workflow to the Expense Approval form for routing based on amount thresholds.

After saving the form, switch to the Flow tab where business processes integrate with submissions. This canvas visualizes the workflow starting from form submission.​

Define Workflow Variables

Define variables first by selecting from the form’s fields, assigning labels like “expenseAmount” for clarity or using presets. These variables drive tasks, conditions, and data flow throughout the process.​

Add Tasks and Conditions

Click the plus symbol to insert tasks or conditions, enabling flexible paths like notifications or approvals post-submission. Tasks perform operations; conditions branch logic based on variables.​

Choose Task Types

Select task types such as email notifications, user assignments, variable updates, or approval steps. For expense workflows, email tasks notify stakeholders automatically.​

Configure Email Task

Add an email task, name it “Notify Manager,” and set variables: recipient (e.g., manager email), subject (“Expense Review Needed”), and body with dynamic fields like employee name and amount. Save to connect it to the flow.​

Implement Conditional Logic

Add a condition named “Low Expense Check,” using expression “expenseAmount <= 100” with operators for comparison. Route “true” to auto-approve via email; “false” sends to an approver for verification.​

Save and Publish Workflow

Connect all elements, save changes, then publish to activate the workflow. Submissions now trigger automated routing, such as low amounts via email or high ones for approval.
